Registration

Eligibility to Attend Conference
Any organization eligible for GCYF membership is eligible to attend the annual conference, this includes trustees, staff, and consultants of:

  • Foundations
  • Corporate Giving Programs
  • Grantmaker Affinity Groups
  • United Way organizations
  • Public Charities

Non-funders may also participate in the conference as a Speaker or Moderator. Members of the Northern and Southern California Grantmakers Associations may register at GCYF member rate. In addition, GCYF invites staff of grantmaker affinity groups and other regional associations of grantmakers to participate in the conference at the member registration rate.

Registration Policy
Registration fees paid by participants are used to underwrite the costs of the annual conference which includes meeting room expenses, meals, travel, local transportation to offsite sessions and Host Event, and all conference materials. A registration fee is required for all Session Coordinators, Speakers, Moderators and/or Discussants again to underwrite the costs associated with their participation in the conference.

All Session Coordinators, Speakers, and Moderators from foundations (i.e., Trustees, staff, and consultants) are expected to register and pay the appropriate registration fee based on their GCYF membership status in the registration materials.  

Recognizing the value of having Speakers and Moderators from non-profit and other non-funder organizations, GCYF offers a reduced registration fee for the day of the presentation for any non-plenary speaker or moderator. These individuals are still required to register through the online registration system. And, if they intend to participate in the conference on days other than their presentation day, they are required to pay the nonmember registration fee.

Local community members or other stakeholders who are involved in an offsite session (either on the bus or at specific sites), but will not be onsite at the conference itself, are not required to register for the conference.

1   Foundations who register 3 or more attendees will receive a 5% discount on the registration fees. All attendees must register for the conference at the same time to receive the discount. Contact GCYF at 301-589-4293 to receive the discount code prior to registering.

2   A foundation that wishes to become a GCYF member and receive the Conference member rate should submit an application to GCYF prior to registering for the conference.  Visit www.gcyf.org for information on becoming a member.

3  Registrations received after September 2nd  will be accepted onsite only.

Speaker Travel Support

In general, all participants of the Annual Conference, including speakers and moderators are responsible for their own registration and travel expenses.  In limited circumstances, GCYF may have the ability to provide travel support to confirmed Speakers (only for plenary sessions, workshops, or institutes – roundtables and offsite sessions are not eligible for travel support).  Speaker travel support should have been requested through the online proposal process. Following session confirmation, GCYF staff will work directly with Session Coordinators to determine travel support opportunities (this may include partial support). Requesting support through the proposal process does not guarantee GCYF travel support will be available; therefore, the ability of a session to go forward should not be contingent on GCYF travel support. GCYF must confirm in writing the availability of travel funds before any speaker is notified of this opportunity. Following confirmation of travel support from GCYF to the Session Coordinator, GCYF will forward travel instructions to confirmed sponsored speakers.  


Non-Solicitation Agreement
The GCYF Annual Conference is a learning community that encourages an open exchange of knowledge and ideas. As such, we ask that ALL participants refrain from soliciting funds or business at the conference. All types of soliciation are strictly prohibited at all GCYF Annual Conference Events.  Individuals reported making a solicitation will be asked to leave the GCYF Annual Conference.

Cancellation Policy
Conference registration cancellation received in writing by August 19, 2011 will be completely refunded minus a $100 process fee. After August 19, 2011 only 50% of your registration fee will be refunded.  After September 2, 2011 no registration fees will be refunded.

Photo/Recording Consent
By attending the GCYF 2011 Annual Conference, you acknowledge that audio, video, and other recordings, as well as photographs of you may be taken by our conference staff and/or others at any time, and by registering for, or attending, the Event you irrevocably grant Grantmakers for Children, Youth and Families permission to publish, copy, and make such other commercial or non-commercial uses of the same in its discretion, with or without your name or other identifying information, in any media or format, including Web sites, print publications, and promotional materials, without compensation or reward.
