2012 GCYF Annual Conference Registration Policies & Rates
Eligibility to Attend Conference
Any organization eligible for GCYF membership is eligible to attend the Annual Conference. This includes trustees, staff, and consultants of foundations, corporate giving programs, grantmaker affinity groups or regional associations of grantmakers, United Way organizations, and Public Charities. Non-funders may also participate in the conference as a Speaker or Moderator.
Photo/Video Consent
The Annual Conference program will include numerous opportunities to document conference proceedings and attendee experiences including an on-site photographer and videographer. By attending the GCYF 2012 Annual Conference, you acknowledge that audio recordings, photographs and/or videos of you may be taken by our conference staff and/or other photographers at any time. Additionally, you grant GCYF permission to use audio recordings, photographs and/or video of your likeness in any type of media, including Web sites and print publications, without compensation or reward.
Registration
Registration fees paid by participants are used to underwrite the costs of the Annual Conference which includes meeting room expenses, meals, travel, local transportation to off-site sessions and Host Event, and all conference materials. A registration fee is required for
all Session Coordinators, Speakers, Moderators and/or Discussants to underwrite the costs associated with their participation in the Conference.
All Session Coordinators, Speakers, and Moderators from foundations (i.e., Trustees, staff, and consultants) are expected to register and pay the appropriate registration fee based on their GCYF membership status. Staff members of grantmaking affinity groups and members of the Conference of Southwest Foundations may register at the GCYF member rate.
Recognizing the value of having Speakers and Moderators from non-profit organizations and government agencies (non-funders or non-funder related groups), GCYF offers a reduced registration
fee for the day of the presentation for any non-plenary speaker or moderator from non-profit organizations and government agencies. These individuals are still required to register through the online registration system. And, if they intend to participate in the Conference on days other than their presentation day, they are required to pay the non-member registration fee.

1 Foundations who register 3 or more attendees will receive a 5% discount on the registration fees. All attendees must register for the Conference at the same time to receive the discount. Discount will be refunded to the credit card used for online payment AFTER registration categories and eligibility are confirmed by GCYF staff.
2 A foundation that wishes to become a GCYF member and receive the Conference member rate should submit an application to GCYF prior to registering for the Conference. Visit www.gcyf.org for information on becoming a member.

Speaker Travel Support
All participants of the Annual Conference, including session coordinators, speakers and moderators, are responsible for their own registration and travel expenses unless otherwise arranged with and confirmed in writing by GCYF.
The exception to this policy are local community members or other stakeholders who are involved in an off-site session (either on the bus or at specific sites), but will not be on-site at the conference itself, are not required to register for the conference.
Non-Solicitation Agreement
The GCYF Annual Conference is a learning community that encourages an open exchange of knowledge and ideas. As such, we ask that ALL participants refrain from soliciting funds or business at the Conference.
